Ever Been Asked to Send a High Resolution Image?

Sometimes a printer, graphic designer or website developer will ask you to send a photo as a high resolution file. Great quality photos will give your project a professional appearance. Conversely, poor-quality images will reflect negatively on the project's overall look.

The quality of an image depends on two things

The original quality

How it is transferred

Original Quality

One of the most common questions we get asked about image quality for websites is if photos taken on mobile phones are going to be good enough quality. The short answer is yes, but there are a two things to consider.

Mobile vs Digital Camera

Lighting, Focus and Framing

Mobile vs Digital Camera

Even though a mobile camera can produce a good enough quality photo for a professional looking website, print project or newsletter, a digital camera, with a good photographer, is likely to produce a better photo. Digital cameras have more control over things like aperture, shutter speed and focus. A good camera, in a professional photographer’s hands, will almost always get a better photo than one taken by an enthusiast on a mobile phone.

Lighting, Focus and Framing

Luck might produce a great photo from a mobile camera, but planning, preparation and good photography skills are more likely to produce a photo that is feature image worthy. A blurred photo or one that has a messy background or a photo where the main subject is poorly lit, does not make a good image for your project, regardless of what camera it was taken with.

How it is Transferred

Often not much thought is given to how an image is transferred to your graphic designer, printer or website developer, yet this can significantly impact on the images fitness for purpose.

The reason why we come across poor quality transfer of photos is because mobile phone cameras are ubiquitous – they are universal and ever-present. Almost everyone has a mobile phone and all mobile phones have cameras. We’re all use to uploading our photos, from our phones, to Facebook, Instagram or texting or adding them to our What’s App chat. Many of us don’t know how to upload our photos to our desktop computers. But that is the first step in getting photos to your designer.

What Not To Do

Here’s several things we commonly come across that we ask you not to do

Texting photos

Sending photos via email or What’s App via the phone

Sending photos via email from a desktop that were previously transferred via phone

Taking screenshots

Downloading from Facebook

Cropping or manipulating the image

Sending the image as a pasted image in a Word document

What To Do

OK, so now we’ve covered off what not to do, where does that leave you?

Here’s a few tips that will hopefully help.

Uploading Photos to a Desktop

Uploading photos and managing image files on our computer might very well become a lost art. But if you’re responsible for starting or maintaining an image library for your business or organisation, this skill set is well worth having.

The old fashioned way of uploading a photo to your desktop (or laptop) computer was to connect a cable to your phone and with the two devices connected, the photo is transferred across. This may still be the best way for you, depending on your circumstances. Here's a YouTube video tutorial on how to upload your photos from an andoid phone to a PC or laptop.

Most often the method used now will be via AirDrop (iPhone / Mac) or Nearby Share or File Sharing (Android / PC).

You’ll need to be familiar with Wi-Fi or Blutooth and your own device and computer to master this.

Uploading your photo, taken on your phone, or with a digital camera, directly to your desktop or laptop computer will not compress the image. The photo will maintain its original size and resolution 😁.

From Desktop to Designer

Once you’ve got the image on your desktop or laptop, you can now email it (from the computer not from a phone) to your designer. If you feel it is too big for email, or there are too many images to transfer, consider using We Transfer.

We Transfer

We Transfer is free to use. You do not need to create an account or have a log in and password (although this is an option). If you’d like to send files without creating an account, choose the “I just want to send files” option.

Why Authenticate Your Email or Authenticate Your Domain?

Have you received a notification from MailChimp or your bulk email marketing platform to authenticate your domain?

Google is strengthening its rules and enforcing tighter anti-spam requirements. As Google represents 30% of emails sent worldwide, bulk email marketing platforms, like MailChimp, need to ensure they are complying with Google’s new rules.

MailChimp is responding to Google’s new rules and asking you to authenticate your domain so that the emails you send will land in a person’s inbox (or at the very least their updates or others folder) and not the spam or junk folder.

What is Authentication of Your Domain?

Authentication is a way to prove the emails sent from your domain are legitimate and not fraudulent. This helps improve deliverability and prevents your emails from being marked as spam.

In other words, authenticating a domain helps ensure your campaigns actually make it to your subscribers’ inboxes.

Free Email Addresses

You can’t authenticate an email address that is not associated with a domain that you own, this includes free emails such as @gmail or @yahoo or @outlook.

If you are using a free email address for sending emails from MailChimp, MailerLite or other bulk sending software you could be receiving messages that you need to purchase a domain name email and authenticate it.

The rules are tightening around using free email addresses for business. Slowly but surely the ability to use free emails for email marketing is likely to be restricted, unsupported and eventually phased out altogether.

If you’re unsure what a domain name email is, how to get one and what it will cost, read our article about domain name emails here.

WordPress and Websites

Many websites and WordPress sites will also be impacted by the new Google anti-spam rules, especially those with contact forms, booking forms and e-commerce sites.

If users fill in a form or buy a product they may not receive a verification or confirmation email as Google may flag it as spam. For some transactions, these confirmation emails are very important. You as the business owner may also not receive notification that someone has made a booking or purchased a product – as the notification email could be marked as spam - unless you are regularly checking your spam folder you won’t see it. Not good for business as you may have customers who you are inadvertently ignoring 🥴.

Having your domain authenticated is quite techy and will most likely require a conversation with your website developer.

If you are using a free email address (eg. @gmail or @outlook) as your receiving email address in WordPress, you will not be able to authenticate this, and therefore you run the risk of your emails ending up in the spam folder. Time to upgrade.

Bulk Senders

Google’s new anti-spam rules will particularly impact senders with lists of over 5,000 subscribers.

However, email authentication is best practice and should be set up to maintain good deliverability — even if you’re not a bulk sender.

How to Authenticate Your Domain

There can be several steps to authenticating your domain, depending on the platform or software you wish to authenticate it with and how seriously you want to get into it.

At its simplest the process is a matter of

adding a CNAME record

adding a TXT record

to your domain’s DNS record

Website owners are likely going to need a few more techy things done (like DKIM and SMTP records).

It can seem overwhelming if you've never come across this stuff before.

Your domain name registrar, however, will not be overwhelmed by this. This is their bread and butter and they will understand it.

Examples of domain name registrars are Go Daddy, Crazy Domains and Web Central.

Our advice is to screenshot and copy and paste the instructions from MailChimp, WordPress or whatever platform that has requested authentication, and send it to your domain name registrar.

The screenshot will give context to the job request and cover all the instructions. Copying and pasting any snippet of code can ensure the zeros are not confused with the letter O and the number 1 is not confused with the letter l. That's why we recommend sending a screenshot and copying any code and sending both of these to your domain name registrar.

Take action on your Google Analytics account

If you’re a business with a legacy (i.e. older than 2 years) Google Analytics account you are likely receiving emails from Google Analytics telling you to take action.

In this situation you either need to create your G4 Google account if you haven’t already or set up the G4 Google account to get the most out of the features it offers.

Many small businesses and marketing staff are struggling to understand what needs to be done and why.

Here’s a step-by-step guide for the basic setup

Our guidance is for those business who want their analytics account to tell them

How many visitors the website is getting

Where the visitors are coming from (eg. organic search, paid ads or socials)

How long the website visitors are spending on the site

What pages are the most popular

This article is not good advice for those businesses who wish to use analytics for more advanced measuring, for example

Linking to Google Ads

Defining Audiences

Measuring Conversions

Therefore this article is not recommended for e-commerce shops, businesses with advanced marketing funnels and other sophisticated websites.

Sometimes important emails sneak off into folders like Updates, Promotions, or even Other. Here’s an article to help you track them down.

Types of emails that go missing

The types of emails that sneak off into these folder are

forgot password email

verification code

course link

re-set WordPress password

Payment notifications

Newsletters from your favourite networks

Email delivery failed notifications

Gmail and Outlook

Email hosts, such as Gmail and Outlook are constantly changing their algorithms to deliver you a better inbox. They’re trying to avoid sending spam to your inbox and in doing so, emails you want to receive may also be prevented from getting there.

Gmail and Outlook have created folders or tabs in addition to their primary inbox.

If you're reading your emails on a mobile you may not have discovered a bunch of other folders that Gmail and Outlook use. Even if you are on a laptop or desktop, if these folders have not been set up for viewing, they could be missed.

In Outlook the folders are called

However, in most cases the email ends up in the Updates folder (Gmail) or Other folder (Outlook). Many people are unaware these folders even exist and therefore are not checking them to see if that is where the email for the password reset has been sent.

Other Things to Try

Here's two other things to try

Use the search bar—type the sender’s name or a keyword from the email.

Double check the email address you are using. Most of us have more than one email address. A work email address, a home one and perhaps one from 5 years ago. Check you are using the right email address when you are requesting a reset password link.

What to do once you've found the email

Here's a few things to consider when you do find the email.

Once you find it, drag it into your main inbox so future emails land in the right spot.

Have a go at whitelisting, or creating a rule that tells your email platform to send it to your inbox.

Add the sender to your contacts.

Passwords

If you’re asking for a reset password link it may indicate you don’t have a reliable method for storing, filing and retrieving your passwords. Check out our article on using a password manager here.

How to Manage Your Passwords

I recently attended a Cyber Security seminar and the presenter mentioned that most of us are now the proud owners of between 100 and 200 log ins to online sites. From Facebook, to email to your favourite online game, shopping or subscription site. Many logins are from sites not visited for 5 or more years.

At the same seminar I learned it can take a hacker less than 5seconds to discover a weak password and only a few hours for a slightly stronger one.

Apparently length beats complexity, hence the new term “passphrase” where cyber security professionals are recommending longer, multiple word, passwords. Stringing 3 words together interspersed with numbers and special characters is recommended, for example
Flower58elephants#africa

And all of the experts are telling us not to repeat a password.

With 100 – 200 online accounts it is impossible to create, remember and manage all these unique passwords. Even the best and brightest brains would not be able to do this.

Most of our clients struggle to retrieve their passwords when needed. Whether it be accessing their WordPress website, their domain or hosting account, their Google email or various other online accounts that we need to undertake work on their behalf. Yet it is the client’s responsibility. Despite wishful thinking, it is not our responsibility, nor our desire, to manage passwords on behalf of our clients.

Browser - Remember Passwords

Most of our clients use the “remember this login” feature that browsers offer. This is a poor system, as it invariably means the browser remembers the password, but you don’t. So while initally storing passwords in a web browser (eg. Chrome) may appear convenient, it can be problematic because as soon as you clear your cache, buy a new computer, or device, or log in at a different location, the browser’s system may not work.

Not only is it a poor system for retrieving your password in the less usual circumstances, it’s generally insecure. If someone else with ill intent obtains access to your system (either physically or remotely) they can gain access to your entire library of passwords across different websites. Your exposure footprint is very high. Anyone who has access to your web browser or uses malicious software to hack it will be able to access the passwords saved in your browser.

Writing Passwords in a Book

Some of our clients write their passwords in a little black book, or similar. This old-fashioned system probably feels reasonabley secure as it’s unlikely an online hacker will be in possession of your online accounts at the same time as your physical book. The problem with this, and it is fair to say with any system, is using it 100% of the time. Almost all of the clients that let us know this is the system they are using will also own up to the fact that the book is somewhat disorderly and there is an on again off again relationship with using it. If the system is not used 100% of the time, it becomes an unreliable method. Once it starts becoming unreliable, most people stop using it altogether.

The other issue with writing passwords in a book is there is a high likelihood of the passwords being easy to remember and type. They are likely to be weak passwords. Compare these two passwords

4Uim>5{+yhJTqw

elephant45^

A randomly computer generated password, like the 1st password, is likely to be hard to read and type - but it will be a strong one. A password you choose, like the 2nd one, and keep in a little black book, is likely to be quite guessable to a hacker and the algorithms and password generators they use.

At one of the cyber security workshops I attended it was revealed that most of us use either 2 or 4 numbers together (not 1 or 3 or 5). As I mentally went through the passwords I've created I realised that infact, for me at least, that was true. And apparently it is true for a large number of us. Knowing this, the hackers can set their automated hacking devices to look for patterns of 2 or 4 numbers, usually at the beginning or end of the word. So try to find a way not to use 2 or 4 numbers together!

If you are using a book, here's a few suggestions.

Use a book with A-Z tabs so that each online platform can then be saved by it's name. For example F for Facebook, G for Google and Z for zoom.

Add the password in pencil, so that if it gets changed, you can easily rub it out and write in the new password in it's place

Here's an example of password book you can purchase.

Password Managers

Very few of our clients use a password manager. But this is what the cyber security experts recommend. Password managers are not without their problems and risks, but they are less problematic and less risky than other methods.

There are also some real bonuses with using a password manager that many people may not consider, such as

It will generate the passwords for you, so you don’t even have to think about it

It will highlight any weak or duplicated passwords

If you end up using "forgot password" it will update with the new password that is created

You can take it with you, whether you are travelling, in a different work location or attending a seminar.

It frees up your brain space for more important issues, like what to have for dinner tonight 😁

There are lots of password managers out there to choose from. Most of them come at a low subscription cost. This subscription cost, in our view, is worth every penny.

Two password managers we’ve seen recommended by a cyber security expert are

Password Safe

KeePass

Here’s a list of a few other recommended password managers.

Ctrl C and Ctrl V

I'm not in the habit of using many keyboard shortcuts, but Ctrl C and Ctrl V really come into their own when used with passwords.

Ctrl C = Copy

Ctrl V = Paste

If you are using a Mac it will be the Command key (rather than the Ctrl key).

Sometimes it can be difficult to tell the difference between the number zero (0) and an uppercase letter o (O). Sometimes it can be difficult to tell the difference between the number one (1) and the lowercase letter l (l). When typing a password into a field these differences often lead to errors.

Using Ctrl C to copy the password and Ctrl V to paste it into the field is usually the most reliable method for entering a correct password.

A password manager will usually automatically fill in the password field, so you don't need to use they keyboard shortcuts. However even with password managers it can sometimes be useful to know this little keyboard gem.

Recommended Next Steps

Decide upon and install a password manager

Choose a unique, memorable to you, passphrase (string of words) as your master password for the password manager

Over the next 2 weeks, start adding your online accounts as you use them

Get use to the way it works with these first online accounts. Change weak passwords to stronger ones. Change passwords that have been used more than once to unique ones

After a month, start an audit of all your online sites, gradually but surely moving all of them over to your new system

Continue using the password manager for everything – you’ll love the convenience

Remembering your passwords is your responsibility – it ain’t nobody else’s – take the frustration out of this modern day problem by using a modern day solution.

Sometimes an IT person or web developer will ask you to clear your cache. Clearing the cache can solve a lot of odd problems. It can be done at anytime without any adverse effects.

Although it doesn’t cause any harm in clearing your cache, you will lose your browsing history - which can be annoying.

Cache’s exist at several levels

Browser

WordPress

Server (eg. website hosting)

In this article we'll look at how to clear your cache at browser and WordPress levels.

Clearing the Cache at browser level causes no harm - but it can be a bit frustrating as you could lose your favourites, bookmarks or browser stored information. You'll find that the predictive texting that often auto-fills your favourite places will be lost.

Examples of browsers are:

Google Chrome

Safari

Firefox

Microsoft Edge

At 65% of internet searches, Google Chrome is the most popular browser, and likely to be the one you are using. Safari, being the default browser for iPhones, has about 20% of users. Other browsers, such as Firefox and Microsoft Edge, account for less than 5% of internet searches.

Identifying Your Browser

If you're not too sure which browser you are using, have a look at the icons below. Do any of them look familiar?

How you clear your cache will be different depending on what browser you are using. The first step is to identify which browser you are using. Hopefully the information above has helped you with this.

After you've cleared your cache, you'll need to refresh the page you were working on or viewing (the one that caused you to seek help in the first place) to see if it has fixed the problem.

If you've been editing a WordPress website, you may have come across a situation where the changes you have made didn't work or they look funny on some browsers. You may have been asked by the IT support desk team to clear the cache, or maybe you've taken it upon yourself to give this a go.

You need to be an Admin user level to access deleting the cache. Clearing the cache doesn't cause any harm and often solves odd problems. Even better news - it's simple to do!

How you clear your WordPress cache will be different depending on what caching plug-in has been used on your site. Below are instructions for two popular WordPress caching plug-ins.

WP Fastest Cache

To clear the cache with sites using WP Fastest Cache, look up to the top black menu in the WordPress dashboard. Here you will see the cat’s head with “Delete Cache”. Hover over this to view the two items

These businesses are registered with ASIC to provide a business name renewal service. If you look close enough at the letter, you will see they are not ASIC and that they are a private provider.

In one sense this is the free market working. The government has seen fit to provide a way to outsource the re-registration of business names.

What we don't like about this is that it comes as a renewal notice, with all your business details. For example, the correct name, address and renewal date. Clearly the government has sold, or otherwise made available, your business details to these companies.

We've met many business owners in our advisory sessions who thought the letter was from the one and only place they can renew their business name and duly paid the $99.

People are not in the habit of receiving renewal notices from companies different to the provider they are with. If you have car insurance, an electricity bill or a membership subscription you expect, and do, receive the renewal notice from the business or organisation providing you with that service.

For some reason, these companies, who you did not initially register your business name with, are allowed to send you a renewal notice.

They pocket a tidy profit of $60 for each business that renews with them. Not a bad business to be in!
